Hotel maintenance software that gets every room ready for the next guest
Our hotel maintenance software turns a complaint at the front desk into a work order on the room, with its clock running. Chillers, elevators, kitchens and pools stay on a planned schedule, and the FF&E plan works from the same register.
- FDA Food Code (cold holding temperatures)
- NFPA 25 (fire pump testing)
- ASHRAE Standard 188 (Legionella water management)
- Model Aquatic Health Code (pool water quality)
What our hotel maintenance software does for your engineering team
Guest requests on the room
Front office and housekeeping log in-room issues against the room number. The response clock starts at once, and the job closes with its cause.
Plant that never stops
Chillers, AHUs, elevators, walk-in coolers and generators fall due by date, run hours or readings, whichever comes first, with contractor visits on the same schedule.
Room PM, room by room
The quarterly guest room check follows your own checklist. A reading out of range fails the item and raises a job on that room.
Logs inspectors ask for
Pool chemistry, fire pump churn tests and walk-in temperatures are recorded against limits. Sensors can read coolers every few minutes and raise an alert on an excursion.
Spares and contracts
PTAC units, filters and refrigerant are stocked against reorder points. Elevator and HVAC agreements show what they cover and when they renew.
FF&E and capital plans
Each property files a five-year FF&E plan with its reserve balance, and capital projects and depreciation work from the same asset register.
What is hotel maintenance software?
Hotel maintenance software is a system an engineering team uses to record every guest room, plant item and piece of equipment in a hotel, take requests from the front desk and housekeeping, and schedule the preventive maintenance that keeps chillers, elevators, kitchens and pools running. It also tracks spare parts, contractor agreements and what the property spends.
Hotels buy it because a guest who calls about a warm room at 9 p.m. remembers whether anyone came, and an owner reviewing the FF&E reserve wants to know what each room has cost to keep.
How hotel maintenance software works in Asset Infinity
Each hotel is a property with floors, guest rooms by number and back-of-house areas: the kitchen, laundry, plant room, pool and ballroom. The director of engineering starts the day on the Today screen.
From a guest complaint to a closed job, the work runs like this:
- The front desk logs it.A guest in Room 412 reports no cooling. The front desk or housekeeping raises a request against the room through the web portal or by email, classified as in-room AC, TV, plumbing or lighting.
- The clock starts. The request becomes a work order with a priority, and the priority sets the response and resolution times. With escalations on, a job that runs late climbs a ladder and tells the people you choose.
- An engineer takes it.The job reaches the engineer on duty in the mobile app, which works in a plant room with no signal and syncs later.
- The fix is recorded. The engineer records parts used, time and the cause, so the room’s history shows the same fault if it returns.
- The room is checked again. Each week, one guest room per floor runs the readiness check. A failed item raises a job on that room.
- Close it with proof, if you want it.On job types that require it, a six-digit code is texted to whoever raised the job, such as the front desk agent, and the job closes only when it is read back. Every step leaves a timestamp, so a dispute about a slow response is settled from the record.

Planned maintenance for plant that never stops
Chillers, air handlers, elevators, generators and the fire pump run every hour of the year. Each has plans that fall due by calendar, run hours or readings, whichever comes first, with preventive maintenance software raising the work orders. The hotels trial includes these plans:
More detail
Elevator and chiller agreements sit on the contract register with their coverage, included visits and renewal notice, so a contractor’s missed visit or a lapsing agreement shows up before it costs you. See maintenance contract management.
Logs an inspector will ask for
Pool chemistry, kitchen cold holding and fire pump runs are the logs a health or fire inspector asks to see. Each one runs as a graded inspection round on the phone, so the reading, the limit and the person who took it are recorded together:

Asset Infinity keeps these records; it does not certify that a property complies with any code.
Spares on the shelf before the room goes out of order
The hero screen above shows how reordering works: each part has a minimum and a reorder point, and the recommendation explains why it suggests an order, from scheduled maintenance that will use the part to safety stock. One click turns it into a purchase request. Parts inventory management covers stock by storeroom, counts and transfers between properties.
Energy use by property and plant
Chillers, kitchens and laundries drive a hotel’s utility bill. The energy module records supply points, meters and tariffs, and flags any supply point using far more than comparable ones.

A finding like that usually means something left running, a control that has failed open, or a leak. Energy management software explains supply points, tariffs and reduction targets.

Hotel asset management: FF&E and capital plans
The same register that runs maintenance also holds what each asset cost and what it will cost to replace. That is where hotel maintenance software becomes hotel asset management.
- A five-year FF&E plan per hotel: expected revenue, the share set aside, items by area and the reserve balance at the end of each year
- An import that reads the hotel’s FF&E workbook and shows what would change before saving
- Capital plans where departments propose schemes and approvers decide each one
- Approved spend that becomes budget heads, and depreciation on the same assets

What to look for when choosing hotel maintenance software
| Capability | Why it matters | In Asset Infinity |
|---|---|---|
| Requests against room numbers | Guests complain about rooms, not assets | Rooms by number, with in-room, public area and back-of-house categories |
| Response clocks and escalation | A late fix becomes a bad review | Response and resolution targets per priority, with an escalation ladder |
| Guest room PM | Rooms degrade one at a time | A room readiness checklist, one room per floor per week |
| Plant PM by hours and dates | Chillers and generators wear by hours | Calendar, meter and condition triggers, whichever comes first |
| Logs with limits | Pool and kitchen logs are inspected | Graded rounds with readings against limits and automatic jobs |
| Spare parts | PTAC units and filters run short | Reorder points and recommendations that become purchase requests |
| Contractor agreements | Elevators and HVAC are often contracted out | Coverage, included visits and renewal notice on each contract |
| FF&E planning | Owners fund replacements from a reserve | Five-year FF&E plans with reserve balances, imported from the workbook |
| Multi-property view | Group engineering needs one picture | Each hotel a property, with group dashboards across them |
| Offline mobile app | Plant rooms have no signal | iOS and Android app that syncs when back in range |

Hotel maintenance software by team and property type
Full-service hotel engineering
A full-service hotel runs requests from the front desk and housekeeping, a plant schedule for chillers, AHUs and the fire pump, daily pool logs and kitchen equipment PM for the combi oven, walk-in cooler and dishwasher. The director of engineering reads one Today screen each morning. Kitchen extract hood cleaning and pest control visits can sit on the same schedule.
Select-service or limited-service property
A smaller property with one or two engineers starts with requests, guest room PM and a short plant schedule. PTAC units, filters and refrigerant are stocked against reorder points, so a spare is on the shelf when a unit fails. Front desk staff raise requests by email, so nobody needs training in a new system.
Resort with pools and grounds
Pools, spas and laundries add daily and weekly logs. Pool water tests are graded against limits, and a failed chlorine reading raises a work order. Laundry washer-extractors and ironers run on their own plans. Grounds equipment, golf carts and spa pumps can be added as assets with their own meters and plans when the team is ready.
Hotel group or management company
Each hotel is a property with its own rooms, stores and engineers, and access follows the property. Group engineering sees open and overdue work for one hotel or all of them, and ownership reads FF&E plans and reserve balances property by property. A plan ownership turns down goes back to draft with the reason shown first.

What teams in this industry use most
Common questions
What is hotel maintenance software?
Hotel maintenance software records every guest room, plant item and piece of equipment in a hotel, and the work done on each. It takes requests from the front desk and housekeeping, schedules preventive maintenance and tracks parts and contractors.
Does it do hotel asset management as well?
Yes. The same register holds each asset's cost, contracts and depreciation, and each property can keep a five-year FF&E plan with its reserve balance for the owner.
Can housekeeping report problems without training?
Yes. Staff report a fault from the web or by email, and engineers can scan a label in the room in the mobile app to raise a job against it on the spot.
Does it work across several hotels?
Yes. Each hotel is a property with its own rooms, assets and stores, and group engineering can see open and overdue work for one hotel or all of them.
Can it schedule guest room preventive maintenance?
Yes. A guest room readiness check runs as a graded checklist room by room, and a failed item raises a work order on that room before the next guest checks in.
How much does hotel maintenance software cost?
Asset Infinity's asset register starts at $130 a month for up to 500 assets with unlimited users, and maintenance is $25 per user per month. Add-ons such as maintenance requests and escalations are flat monthly prices.
